Explaining Spanish Institutional Information in Plain Language

Explaining Spanish Institutional Information in Plain Language

In this lesson, you will turn a dense institutional statement into clear language that tells a reader who the rule applies to, what action is required, who performs it, when it must happen, and which conditions or exceptions matter. Simplification must reduce linguistic density without deleting a deadline, exception, reference, or responsibility that changes the rule.

Dense institutional text

— Beneficiaries of the grant who, having received a final award notice, have not submitted the supporting documentation provided for in section 8 within the period of twenty working days counted from the day after receipt of that notice must provide it before the additional ten-day period granted by formal request ends, unless they document a force-majeure reason accepted by the managing body.

Step 1: identify who

The rule applies to:

— grant beneficiaries who received a final award notice and did not submit the supporting documentation on time.

Step 2: identify the required action

Required action:

— provide the supporting documentation.

Step 3: identify the first deadline

First deadline:

— twenty working days from the day after receipt of the notice.

Step 4: identify the additional period

If the first deadline was missed and a formal request grants more time:

— an additional period of ten days.

Step 5: identify the exception

Exception:

— unless they document a force-majeure reason accepted by the managing body.

Do not simplify this to “unless there is a good reason.” The text requires documentation and acceptance by the managing body.

Step 6: identify the decisive reference

The phrase:

— that notice.

refers to:

— the final award notice.

Plain-language version

— If you have received final approval of the grant and did not submit the supporting documentation within the following twenty working days, you may receive a formal request giving you ten additional days to provide it. You must submit the documentation within that new period. The exception applies only if you can document a force-majeure reason and the managing body accepts it.

Make the actor visible

Dense nominal form:

— submission of the documentation by the beneficiary.

Plain verb:

— The beneficiary must submit the documentation.

The verb makes the actor-action relationship easier to process.

Unpack a long noun phrase

Dense:

— communication of the final award decision.

Plain:

— The managing body communicates the final decision on the grant.

Preserve a condition

Institutional:

— The extension may be granted provided that the request is submitted before the initial deadline expires.

Bad simplification:

— You can ask for more time.

Better:

— You can request an extension, but you must request it before the initial deadline ends.

Preserve an exception

Institutional:

— It will not be necessary to attach the certificate, except when the administration cannot verify the data electronically.

Plain:

— Normally you do not have to attach the certificate. You do have to do so if the administration cannot verify the data electronically.

Preserve the deadline calculation

Do not simplify:

— within twenty working days from the following day.

to:

— in about three weeks.

The approximate expression changes the legal or administrative timing information.

Do not add an unstated consequence

If the text says only that documents must be submitted, do not add:

— If you do not do so, you will automatically lose the grant.

unless the source states that consequence.

Plain-language checklist

  1. Who does the rule apply to?
  2. What must or may that person do?
  3. Who is responsible for the institutional action?
  4. What date or period controls the action?
  5. How is the period calculated?
  6. What condition changes the rule?
  7. What exception limits the rule?
  8. What pronoun or institutional reference points back to an earlier item?

From Plain Institutional Language to Analytical Writing

You can now simplify a dense institutional procedure without removing a condition, deadline, or decisive exception. The next lesson teaches Writing a Spanish Analytical Essay That Weighs Competing Explanations.
