Writing Spanish Meeting Minutes and Action Points

Writing Spanish Meeting Minutes and Action Points

In this lesson, you will write concise meeting minutes that separate discussion, decisions, action items, owners, deadlines, and unresolved issues. The minutes should allow follow-up without becoming a transcript, and they must not assign a task to someone who never accepted it.

Basic meeting information

— Meeting: preparation of the October pilot.

— Date: September 3.

— Objective: confirm scope, schedule, and owners.

Discussion summary

— Product supported an October pilot for commercial scheduling reasons. Operations stated that it cannot provide full support if the scope exceeds two clients. Sales indicated that a two-client pilot would cover its immediate need.

This compresses the main positions without reproducing every turn.

Decision

— Decision: run a pilot with two clients on October 15.

A decision should be recorded only if it was actually confirmed.

Condition attached to the decision

— Condition: operations must receive the final documentation before October 5.

If the condition affects feasibility, it belongs near the decision.

Action point

— Action: product will send the final documentation to operations.

— Owner: product team.

— Deadline: October 4.

Second action point

— Action: legal will review the conditions for public communication.

— Owner: legal team.

— Deadline: September 6.

Open issue

— Pending: the date of the general launch has not been decided.

— Next review: October 20.

Preserve a reservation that affects the decision

— Operations accepts the pilot only within the two-client scope.

Do not remove if it defines the real limit of agreement.

Neutral paraphrase

Emotional meeting language:

— This is impossible with the team we have.

Neutral minutes:

— Operations indicated that current resources do not allow the pilot to be expanded without changing the schedule.

The minutes preserve the operational claim without reproducing the emotional tone.

Do not convert discussion into decision

Discussion:

— The possibility of expanding the pilot to four clients in November was raised.

This does not mean:

— Decision: expand the pilot to four clients in November.

Do not invent an owner

If the meeting says:

— Someone should prepare a cost estimate.

but nobody accepts the task, the minutes should not write:

— Owner: Marta.

Instead write:

— Unassigned: cost estimate.

Do not turn minutes into a transcript

Weak minutes try to reproduce every sentence and interruption.

Useful minutes record:

  • the issue discussed
  • the decision, if any
  • important reservations
  • action item
  • owner
  • deadline
  • open point

Model minutes

— Objective: confirm the scope of the October pilot. Product proposed keeping October; operations indicated that full support is not feasible with a scope greater than two clients; sales confirmed that two clients cover the immediate commercial need. Decision: run a two-client pilot on October 15, conditional on operations receiving the final documentation before the 5th. Action: product will send the documentation on October 4. Pending: the general-launch date will be reviewed on October 20.

A practical minutes method

  1. Record meeting purpose and date.
  2. Summarize only discussion that affects the outcome.
  3. Separate discussion from confirmed decision.
  4. Attach important conditions to the relevant decision.
  5. Record each action with owner and deadline.
  6. Keep unresolved reservations visible.
  7. Use neutral paraphrase instead of emotional transcription.
  8. Never assign responsibility to someone who did not accept it.

From Meeting Minutes to Difficult Feedback

You can now write minutes that support follow-up without distorting the meeting. The next lesson teaches Handling Difficult Feedback and De-Escalating Workplace Conflict in Spanish.
