Writing a Spanish Service Request with the Details Needed for Action

Writing a Spanish Service Request with the Details Needed for Action

In this lesson, you will write a service request that another person can act on. Include the problem, exact location, useful reference number, convenient time, and requested result without adding distracting information.

Identify the service or account

  • — My customer number is 48271.
  • — My order number is A9154.
  • — The repair reference is R2038.

For this lesson, — customer number is useful service vocabulary.

State the problem clearly

  • — The heating does not work.
  • — The parcel has not arrived.
  • — There is a charge that I do not understand on the bill.
  • — The building door does not close properly.

Give the location when relevant

  • — The problem is in the kitchen.
  • — The fault is in the bathroom.
  • — My address is 24 Calle Sur, second floor, apartment A.

For this lesson, — fault / breakdown is useful service vocabulary.

Say when the problem started

  • — The problem started yesterday.
  • — It has not worked since this morning.
  • — The parcel has been delayed since Monday.

State a practical time window

  • — I can be at home from nine to twelve.
  • — Tuesday afternoon works for me.
  • — I cannot Friday morning.

State the requested result

  • — I want to request a visit to inspect the problem.
  • — I need to confirm where the parcel is.
  • — I want you to review this charge.

For this lesson, Quiero que revisen... is a useful service-request phrase. The systematic grammar behind this verb form is taught later.

Keep names and pronouns clear

Unclear:

— I spoke with Marta and Ana. She said she was reviewing it.

Clearer:

— I spoke with Marta and Ana. Marta said she was reviewing the charge.

Keep the amount exact

If the questionable charge is 18 euros, write:

— There is an 18-euro charge that I do not recognize.

Do not write “about twenty euros” if the bill gives an exact figure.

Model service request: repair

— Good morning. My customer number is 48271. The heating in my apartment has not worked since yesterday. My address is 24 Calle Sur, second floor, apartment A. I can be at home Tuesday from nine to twelve. I want to request a visit to inspect the problem. You can call me at 612 480 301. Thank you.

Model service request: billing

— Hello. My reference is B7712. The bill shows an 18-euro charge that I do not recognize. I want you to review that charge and explain what it corresponds to. You can contact me by email. Thank you.

Remove distracting details

If the service provider only needs the fault, location, reference, time window, and requested action, do not add unrelated information about your weekend, travel plans, or personal history.

Actionability check

Before sending, verify that the recipient can answer:

  1. Who is making the request?
  2. What is the problem?
  3. Where is the problem?
  4. What reference number applies?
  5. When can the service happen?
  6. What result is being requested?

A practical service-request method

  1. Identify yourself or the relevant customer reference.
  2. State one concrete problem.
  3. Add location and starting time if relevant.
  4. Give an exact amount or number when the request depends on it.
  5. Provide a realistic time window.
  6. Ask for one clear result.
  7. Replace ambiguous pronouns with names or nouns.
  8. Remove information that does not help the provider act.

From Written Requests to Resolving a Billing Error

You can now write a service request with enough information for a provider to act. The next lesson is a speaking task in which you compare two service options and resolve one clear billing difference.
