Writing a Spanish Request That Specifies Requirements and Deadlines

Writing a Spanish Request That Specifies Requirements and Deadlines

In this lesson, you will write a practical request that states exactly what you need, which requirements are essential, which points are only preferred, the deadline, and the purpose. You will also review the subject, pronouns, date, and reference details for ambiguity.

State what you need

  • — I need a company that can repair the heating.
  • — I am looking for a room that is near the metro.
  • — I need a person who can work on Saturdays.

Separate essential requirements from preferences

Essential:

— It is necessary that the company can come this week.

Preference:

— We prefer a company that offers a written guarantee.

Do not present a preference as if it were mandatory.

Add a deadline

  • — I need a reply before Friday.
  • — We have to receive the estimate before the week ends.
  • — Please send the information before May 12.

State the purpose

  • — I need the estimate to compare the options.
  • — Send me the conditions so that we can make a decision.

Use relative clauses to specify what you need

General noun:

— I need a technician.

Specified requirement:

— I need a technician who can come in the afternoon.

Make the actor clear

Ambiguous:

— I spoke with Marta and Ana. I need her to send me the document.

Clearer:

— I spoke with Marta and Ana. I need Marta to send me the document.

Make pronoun reference clear

If the message contains both — the estimate and — the contract, avoid a later lo if the reader cannot tell which document it refers to.

Clear:

— Please review the contract and send me the signed contract.

Check date consistency

If you write:

— I need the reply before Friday, May 12.

verify that the weekday and date correspond in the real request. Do not create a contradiction between the day and the calendar date.

Model request

— Good morning. I need a company that can inspect the heating in my apartment this week. It is necessary that the technician can come in the afternoon, preferably after four. I need a reply before Thursday so I can organize my schedule. Please send me the price and conditions so that I can compare the options. My reference is R4821. Thank you.

Model accommodation request

— Hello. I am looking for a room that is near metro line 3 and available before September 1. My maximum budget is 700 euros per month. I prefer an apartment that has a good internet connection, but this is not required. I need the information before Monday to make a decision. Thank you.

Review before sending

  1. Is the requested object, person, or service explicit?
  2. Are essential requirements separate from preferences?
  3. Is the deadline explicit?
  4. Is the purpose of the request clear?
  5. Does every subordinate action have a clear subject?
  6. Are pronouns unambiguous?
  7. Are dates, amounts, and reference numbers internally consistent?

From Precise Requests to Problem-Solution Explanations

You can now write a request with explicit requirements, purpose, and deadline. The next lesson teaches how to explain a familiar problem from facts and impact and then propose a practical solution without confusing observation with assumption.
