Writing a Spanish Formal Email to Request Information or Action

Writing a Spanish Formal Email to Request Information or Action

In this lesson, you will write a formal email whose purpose can be understood and answered quickly. Include brief context, a useful reference, ordered questions or requested actions, a deadline when relevant, and a clear statement of what response you expect.

State the context briefly

Example:

— I am contacting you regarding my registration for the October course.

Do not begin with a long personal history if it is not needed.

Add the reference

  • — My registration number is C4820.
  • — My booking reference is H7715.
  • — My customer number is 48291.

Request information with ordered questions

If you need three pieces of information, make them easy to identify.

  • — What is the exact start date?
  • — Which documents do I have to submit?
  • — When do I have to make the payment?

Request an action explicitly

  • — I ask you to update my contact address.
  • — Could you change my booking date to Saturday the 13th?
  • — Please send me a copy of the corrected bill.

State the expected response

Vague:

— I hope for news.

Clearer:

— I would appreciate it if you could confirm the new date and any additional cost.

Add a deadline only when it is real

  • — I need confirmation before Thursday because I travel on Friday.
  • — If possible, I would appreciate receiving the reply before May 10.

Do not invent urgency simply to make the email sound stronger.

Keep questions grouped logically

If the email is about one course, keep schedule, documents, and payment questions together. Do not mix an unrelated complaint into the same message unless necessary.

Keep the address form consistent

Plural organizational form:

— I am writing to ask you for information.

Then continue with ustedes-compatible forms:

— Could you confirm the schedule for me?

Review completeness

Before sending, ask:

  • — Is it clear why I am writing?
  • — Have I included the necessary reference?
  • — Is it clear what information or action I need?
  • — Have I indicated the deadline if one really exists?

Complete model email: request for information

— Subject: Information about the October course

: — Dear Sir or Madam:

— I am contacting you regarding my registration for the October course. My registration number is C4820. I would like to confirm three details before making payment: the exact start date, the documents I must submit, and the payment deadline. I would appreciate it if you could send me this information before September 10 if possible. I look forward to your reply. Sincerely, Carlos Ruiz.

Complete model email: request for action

— Subject: Request for a date change

: — Dear Ms. López:

— I am writing regarding my booking H7715. The booking is currently for Friday, June 12, but I need to travel Saturday, June 13. Could you change the booking date to Saturday and confirm whether there is any additional cost? I need confirmation before Thursday because I travel the following day. Thank you in advance for your help. Kind regards, Ana Martín.

A practical request-email method

  1. Give the context in one or two sentences.
  2. Add the reference needed to identify the matter.
  3. Group questions or actions in a logical order.
  4. State exactly what reply or action you expect.
  5. Add a real deadline when relevant.
  6. Keep the form of address consistent.
  7. Review completeness and tone before sending.
  8. Do not leave the main requested action implicit.

From Formal Requests to Solving a Work Problem

You can now write a formal email that is easy to understand and answer. The next lesson is a speaking task where you explain a work problem, discuss options, assign the next step, and confirm when you will review progress.
